Race Organizer Info

To all BC Masters Cycling Race Organizers,

After reading these instructions ,you must REGISTER with your full name and LOG IN with chosen password, and select a Nickname you may use, otherwise you are unable to view and complete the race info form.
It is now assumed that you have established correct race dates from Event Calendar, or directly with Bill Yearwood: Bill.Yearwood@bst-tsb.gc.ca

There are two separate race information links on the site:
1. Event Calendar links; which is an overview function with few details, including non-BCMCA races
2. Upcoming Races links; with specific and detailed info on BCMCA points races only (this is where we want your information posted with all race details)

Go to Organizer Resources link and fill in the Race Form that is a fillable .pdf (provided you are registered and logged in).
All the fields are helpful for us to promote your races with accuracy, but you may add info by UPDATE anytime. No need to have everything ready today.
Each separate race is submitted on its own form, even if races are held on the same day.

Please note a new “race“ format for 2012 called Fondo Class; non-competitive; open to all at anytime; no points or medals; timing only.
Race Title: Identifies location and type of race. For example; Kamloops 65 K RR
If you need to complete any information at a later date, you may UPDATE with additions/corrections and identify this in the
Race Title: Kamloops 65 K RR UPDATED March 21,2012 You may update race info anytime using the same form.
Contact Name: Your name – this will also verify your status with the web master, as well as verification of race dates.
Email: Your contact email is required, but specify if web info should include your phone number as well, or as the only contact option.
Race Date: Self-explanatory. As long as you have confirmed this date with Bill Yearwood, who co-ordinates the entire BCMCA schedule.
Location: Please provide the exact race start location address with road/street name and number, as well as postal code.
Google Map Link: If you have it for the START location, otherwise the exact address above is sufficient.

Race Distance: Also add description such as Rolling, Hilly, Flat, etc.
Sign-on Time: Also add Sign-on location, if different from info above.
Start time: Also add Start location, if different from info above.
Race Fee: As set by BCMCA. As an aside; Please note that having membership in any club does NOT provide any rider with the required license.
Only Cycling BC can issue a license, separately from any Club Membership, but all riders are able to ride a couple of events as “trial“.
Local Weather: If you have the link; if not, please provide the Postal Code for the largest population area close to your race location, or Airport Code.
Accommodation: Links to motels, hotels, RV grounds near the race location, or local Tourism web site.
Additional Info: Including links to your blogs, club web sites, Facebook where you may already have a lot of race information published.

Next season it is easy to provide updated info with your current details archived.
Please complete the form as far as possible by January 16, 2012 ( you can always update later).
Check back on the website for verification of your race and associated links after January 20, 2012.
Report any discrepancies or missing info to admin@bcmasterscycling.net ASAP

If we do not get report back, we assume info is correct. For now, that is.
The web site is scheduled to go live shortly; with your assistance and info.

Sincerely,
Olav Stana
